Overview
Virtual Pharmacist offers a comprehensive clinical management platform designed to enhance operational efficiency and transparency for PCNs and General Practices. By addressing internal management challenges, the platform ensures high-quality, scalable clinical support that improves patient care outcomes.
Problem Statement
Despite offering excellent pharmacist-led clinical services, Virtual Pharmacist was experiencing operational difficulties that affected performance and coordination. The core challenges included:
- Lack of centralized scheduling for clinical staff.
- Difficulty in tracking member-level activity and task completion.
- Inefficient and inconsistent data entry methods.
- Challenges in evaluating performance across practices.
- Fragmented internal communication and team oversight.
- These problems were creating bottlenecks in workflow, reducing visibility for management, and ultimately impacting service delivery.
Solution
We designed and implemented a custom internal platform for Virtual Pharmacist that addressed their most critical needs. Our goal was to improve clarity, control, and communication across their operations. Key solutions included:
- Centralized Work Scheduling: A smart scheduler that allows admin leads to assign tasks and shifts to clinical pharmacists across PCNs and Practices. The interface supports drag-and-drop planning, recurring tasks, and notifications.
- Real-Time Activity Tracking: Each team member can now log their activities in real-time or at the end of their work day, which syncs with their assigned schedule and automatically compiles into performance dashboards.
- Performance Analytics for Practices: Admins can now generate reports to analyze member contributions, time spent per practice, and patient outcomes. This allows for better decision-making and resource allocation.
- Company-Level Admin Controls: Higher-level admin users have oversight across all teams, practices, and user activities. Permissions, role-based access, and audit trails were included for maximum transparency and control.
Impact
90% reduction in time spent on team coordination and scheduling. Higher visibility into team member productivity and clinical coverage. Streamlined reporting leading to quicker decision-making at the company level. Improved practice-level results due to more organized workflows and accountability.
